The secret of change is to focus all of your energy, not on fighting the old, but on building the new.”  – Don Millman

Dental Office Management and Leadership Tips & Ideas for January 2022

Insurance Renewals: Many of your patients’ dental insurance maximums renew on January 1. Phone, text, and/or email your patients with a friendly reminder of their renewed benefits and encourage them to make a reservation to come in for their hygiene wellness visit or to get started on their unscheduled treatment needs with the doctor. Include reminders on your social media pages.

Unscheduled Patients Do you know how many of your active patients are scheduled for appointments and how many are unscheduled? Now is a good time to find out. It doesn’t do any good to have active patients if they’re not scheduled for a future appointment. Make plans to reach out to all your unscheduled patients and invite them to schedule an appointment for their hygiene visit or if they have unscheduled treatment plans.

Office Appearance:

National Clean Off Your Desk Day: Jan. 10th ~ Clutter represents indecision. Make the decision to get rid of the clutter! That includes any sticky notes attached to computer monitors, coats/sweaters hanging on the backs of chairs, and carry-out drink containers sitting out on the counters. While you’re at it, go ahead and attack the cabinets, counters, & closets. Say goodbye to the clutter!

Boost Team Morale/Attitudes:

January is National Soup Month – Each week a doctor and/or team member can bring in a crock pot of homemade soup to share with the team for lunch. (For example, Warm Up Wednesdays ) – Be sure to share photos and recipes on your social media pages.

Fun at Work Day: Jan. 28th – Schedule a fun team building activity, games or contest for the team. Be sure to share the fun on your social media platforms.

Speaking of social media platforms – Please stop by and follow me on  FacebookInstagram, LinkedIn, and Pinterest

National Compliment Day: Jan. 24th ~ Compliment your doctor(s) and/or team when you catch them doing something “right”. Compliments boost morale.  (Tip: You don’t need a special day to do this – you always want to compliment & reward the behavior and actions that you want to see more of. ) See Why Gratitude Matters

Do not delay, put down on paper all of your thoughts and plans to make 2022 a better year for you, your team, your patients, and your practice. Do include your team in this plan, ask them what their ideas are to make 2022 a more productive and happier year for all.

Instead of trying to change your entire practice in January, the simpler strategy is to create a 12-month plan where you and your team are making constant improvements.

Dental Office Management Tips and Ideas December 2021

Dental Office Management Tips and Ideas December 2021

Hello Friends,

What does December typically look like in your dental practice? Full schedules? Light schedules? Stressed out patients? Stressed out doctor and team? Maybe the team is starting to check out mentally ready for the break from work?

Regardless of what December usually looks like in your office – if you haven’t done so already, take some time now to plan for how you will not only keep/get a full schedule but ensure that it will be productive too. I know that we can’t control the schedule 100% because life happens. However, we certainly can plan to end the year on a happy & productive note.

End of Year Rush – What are your plans to care for the end-of-year rush? You know, the patients that wait until the last minute to use their remaining insurance benefits, the school/college kids, emergencies, etc.

Holiday Hours – Be sure to update your office holiday hours/closures on Google and Facebook.

Social Media – Preschedule your social media posts for the last 2 weeks of December and the first week of January. Looking for content ideas? Check these out: Dental Social Media Content Ideas

Incomplete/Unscheduled Treatment – Do you have any patients with incomplete treatment or ones that are due/past due in hygiene with remaining insurance benefits that will expire at the end of this year? Do what you can to help them see the need and value in scheduling an appointment this month. Some offices invite their patients to take advantage of “today only” special offers that they share via their social media sites, email blasts, and telephone calls.

Be alert to any patients that are coming in with the doctor or hygienist and have incomplete treatment or are due in hygiene. If the schedule allows, encourage them to take care of both at the same time. This means carefully reviewing all charts in advance of the appointment.

Appointment/Retention Incentive – Consider having a drawing for a gift basket or gift card to a local business that your patients can enter to win when they come in for their dental appointment before December 23rd.

Homecare Products – December is a great time for Special offers on Electric Toothbrushes and Waterpiks

Gift Certificates – Remember, Gift Certificates/Cards for Teeth Whitening or Dental Treatment should always be available for your patients to purchase as gifts for their loved ones.

Review the performance for 2021 – What worked well? What did not work well or requires change? What are your ideas for Improvement? What are your plans for implementation? SEE Where Are You Taking Your Practice?

Most important, remember to celebrate this year’s successes with your team! SEE Why Gratitude Matters

Hello Friends,

“Hope Smiles from the threshold of the year to come, whispering ‘it will be happier’.”    ~ Alfred Tennyson (happier & healthier!)

December is a great time to find and create opportunities for growth in the New Year. Make your action plan for any wanted and needed improvements to your office including setting your production, collection, treatment, continuing education, and new patient goals for the new year.

While you’re at it – think seriously about any troubles, concerns and problems that occurred during the year that you do not want to repeat in the new year. What problems would you like to see solved? Take steps to make any needed changes or improvements.

“I must lose myself in action, lest I wither in despair.” –  Alfred Tennyson

Be sure to consider and reflect upon all the things that went well too. Celebrate your successes and wins!
