Here are some practice management reminders, leadership, and team-building ideas that can easily be implemented during the month of June. (Don’t wait until the end of the second quarter of the year to evaluate if your and your team’s daily actions are in harmony with your practice vision and mission. )

Leadership & Team Building & Appreciation Idea

Practice improvement and growth start with you and your team! Remember, there is no way that the quality of patient care and experiences will exceed the quality of the people who provide it.

Invest in your team – Thoroughly train your employees (new & old) on your practice goals, systems, expectations, software, telephone skills, dental procedures, protocols, etc.  Include regular continuing education – you can do this with in-office training, webinars, lunch and learns, and seminars/classes outside of the office.

Doughnut Day or Donut Day: June 2nd – Bring in donuts for the team!

 

 

Recess at Work day is June 15th – Get outside for a few minutes with your team for some fresh air. If you can’t all get outside, open the windows, and turn up the radio.  How about a sweet treat to enjoy during “recess”? (ex: ice cream, frozen drink, etc.)

Practice Management Reminders & Ideas

Unscheduled Patients – Now is a great time to reach out to your unscheduled patients both active and inactive patients. Why? Because for your patients to smile healthy they need to schedule the treatment you’ve diagnosed and to come in regularly for their hygiene continuing care appointments.

Some questions to consider:

  • Of your active patients (seen in the last 18 months) how many have a next appointment scheduled and how many do not?
  • What systems are in place to ensure the team is staying in touch with your unscheduled patients?
  • How many patients left the practice this year?
  • What can you do together as a team to retain more patients by consistently exceeding their expectations?
  • What can you do together as a team to help more patients say yes to your very best care? Remember, When your patients are healthy – the practice is healthy.

Knowing your practice numbers and doing something with what you know about those numbers is key to growing and improving your practice. Numbers tell a story. Numbers tell you if your practice is healthy or unhealthy.

Reviews & Recommendations – Ask your patients to please review your office on Google and recommend you on Facebook. Don’t simply rely on third-party companies to do this for you. It’s so simple (& free) to invite your patients to do this for you.

Spring Clean your Online Presence – Friends, please take some time now to examine your website, social media pages, and Google listing. Make sure that your office information is up-to-date, with current content and photos. Check the bios, office hours, services, special offers, page links, etc. If you haven’t brought your Google business listing up to date or have yet to claim it – please do so.

Reappointments – Keep in mind, the best way to keep your patients active is to be sure to reappoint them for their next hygiene visit when they are there at the office. Also, help more of your patients say yes to your treatment recommendations and have them reserve their appointment at the time of treatment presentation.

April is National Stress Awareness Month – “There cannot be a stressful crisis next week. My schedule is already full.” ­— Henry Kissinger

Sadly, Dentists are one of the most stressed in the healthcare industry. Bad stress can and does negatively affect your team and in turn, your patients. Eliminating stress is almost impossible, however, there are things we can do to reduce it. “Stress and unhappiness come not from situations, but how you respond to situations.” – Brian Tracy

Here are just a few tips…

  • Practice Gratitude (Focus on the good things in your life. Start and End your day with a grateful heart)
  • Set Realistic Goals (Stop trying to be a perfectionist)
  • Delegate & Stop Micromanaging
  • Control your Appointment Schedules
  • Prioritize Tasks (there can only be one most important thing at a time)
  • Create Written Systems, Checklists, and Job Descriptions/Expectations
  • Improve Communication (Communicate daily with your team. Clearly identify your mission, vision, core values, goals, and expectations)
  • Practice Self-Care
  • Take a Break (make sure you and your team get to take a break(s) during the workday)
  • Smile More (have fun at work)

Team Building/Employee Appreciation Ideas

National Fun at Work Day: 6th – Have a silly theme for this day. (For example, Crazy hair, luau, silly socks, decades day, etc.)

National Dental Hygienist Week: 4th -10th – Technically, this is a Canadian “Holiday” but more and more offices here in the United States are taking advantage of this opportunity to show some extra love and appreciation for their hygiene team.

Administrative Professionals Week: 23-29 / Administrative Professionals Day: 26th – This is the week to celebrate your hard-working and amazing front-office employees!

Team Building – You’ll notice a little trend with the team building ideas for February as they just so happen to revolve around food & drink. 😉

National Pizza Day: 9th – Bring in a pizza lunch for the team today.

National Drink Wine Day: 18th  

National Margarita Day: 22nd

National Chili Day 23rd – Have an in-office chili cook-off lunch. Everyone brings in a crockpot of chili. Have prizes for the best tasting, most unique, etc.

Random Acts of Kindness Week: 12-18th – Do something special for your employees this week. Bring in an unexpected sweet treat or small gift to let them know just how much you appreciate them. (By the way, if you’re an employee reading this, your doctor would also appreciate an unexpected act of kindness this week!)

February is International Boost Self-Esteem Month. Negative people are the greatest destroyers of self-confidence and self-esteem. Practice Management Reminders and Ideas

Reappointments and Reactivation – Now is a great time to reach out to your unscheduled patients both active and inactive patients. Do you know how many of your active patients are unscheduled? (If your practice management software is Dentrix, Eaglesoft, or Open Dental I can help you quickly get those numbers. Just send me an email to bhaydenconsulting@gmail.com and let me know that you’d like to get the FREE data analysis.)

Take advantage of all the different communication methods to reach your patients – telephone, text, email, letters/cards, and your social media pages.  You’re planting little reminder seeds that you’re thinking about them. Hopefully, it will be the gentle nudge they need to schedule an appointment.

Insurance – Have you carefully reviewed the 2023 CDT changes, additions, and deletions? This is important not just for filing insurance claims but because CDT codes are procedure codes, and every clinician is responsible for using them properly.

Speaking of Insurance, what does your insurance aging report look like? How often are you checking on outstanding insurance claims? Who is monitoring and working on your aging reports, daily?

February is National Time Management Month –  “ Either you run the day or the day runs you.

Start with the office schedules/patients’ appointments – Are they chaotic, unpredictable, and stressful? If they’re running you and your team crazy, it’s time to evaluate what’s not working and make changes. Design and run the schedules for success.  Remember, you are (or should be) in control of how, when, and where patients are scheduled. Keep them full, healthy, and productive.

January 2023 Dental Practice Management and Leadership Ideas

Hello Friends,

Are you looking to make this a great year? If you want different or better results than last year you’ll need to do something different this year. Start now – make your action plan for any wanted and needed improvements to your office including setting your production, collection, treatment, continuing education, new patient, administrative time, and happiness goals for 2023.

Leadership and Team Building

“Outstanding leaders go out of the way to boost the self-esteem of their personnel. If people believe in themselves, it’s amazing what they can accomplish.” – Sam Walton

Training – Are you investing in your team by making sure they have proper training and retraining? For example, are you utilizing your practice management software to its full potential? Have you all been “properly” trained on how to use it?

January is Get Organized Month – This is a great time to get rid of any office clutter! Check the closets, cabinets, drawers, and desks for any clutter that can be organized, put away, or tossed. Clutter equals chaos. There is no room for chaos or clutter.

National Bagel Day: 15th – Bring in bagels for breakfast for the team to enjoy during your morning huddle.  

Fun at Work Day: Jan. 27th – Schedule a fun team-building activity, games, or contest for the team. Be sure to share the fun on your social media platforms.

Office Management Ideas

CDT Codes – Have you reviewed the 2023 CDT Code changes, additions, and deletions? If not, I strongly encourage you to make sure you’re up to date with coding and billing correctly.

Insurance Renewals: Many of your patients’ dental insurance maximums renewed on January 1. Phone, text, and/or email your patients with a friendly reminder of their renewed benefits and encourage them to make a reservation to come in for their hygiene wellness visit or to get started on their unscheduled treatment needs with the doctor. Include reminders on your social media pages.

Credit Report – Run your credit report. Check for any errors. Unless your patients have requested that you leave a credit on their account for future treatment – you shouldn’t have credits just sitting there.
