Dental Office Morning Meeting Tips and Suggestions

Hello Friends,

Do you ever feel like your attempt to conduct a daily morning huddle is just a big hassle? That the meetings are a waste of time? Or maybe you’re already conducting morning meetings and want to make them more effective, please keep reading!

Today, I want to share with you some tips and suggestions that will help you have effective morning huddles and answer some questions that many of you have asked about morning huddles.

Why should I have a morning huddle/meeting?

The morning meeting is essential for a successful day. If you tried in the past to have a morning huddle and it didn’t work out… try again! However, this time, please follow my tried and true suggestions & tips. Every dental office wants to produce more, collect more, stress less, have happy doctors and team members and consistently exceed patient expectations. Right? Well, effective morning huddles help to make those things a reality.

Remember this: Proper Planning Prevents Poor Performance!

When should the morning huddle start? and How long should it last?

Fifteen – twenty minutes before the first scheduled patient.   It should last no more than 10-15 minutes. Taking 10-15 minutes first thing in the morning to ensure the day starts off happy and productive is well worth it.

Who should attend the morning meeting?

Everyone. If scheduling prevents everyone from attending…at the very least the doctor(s), hygienist(s), assistants and someone representing the administrative team. It is imperative for a team member to be assigned at every meeting to update the employee(s) not present of what was discussed/announced. No one should be left in the dark. This eliminates any “I didn’t know” or “no one told me!”

Who leads the huddle?

Rotate team members to conduct the meeting and make certain that everyone stays on point and that the meeting ends and starts on time (appoint a time-keeper)! Doctors (lead by example) be present at the start of the mtg and end each meeting on a positive note. Team members from each department can & should contribute what pertains to their particular department.

What do you talk about?

Focus on: Today and Tomorrow and a little bit of yesterday 😉

START and END the meeting with something POSITIVE.

  • Ata-boy/gal minute – What did we do “right” yesterday? How did we go the extra mile for a patient? Did you notice any team member that did something nice for a patient or another team member? Did anything happen yesterday that could be improved upon or avoided in the future? If yes, How?
  • Holes – Can a hygiene patient in need of restorative slide over into the doctors chair? Is there anyone coming in with the doctor that is due in hygiene? If not, how will we remain productive during this downtime?
  • Emergency time – Where can we put the “true emergencies”?
  • Potential trouble spots – Review schedule for any potential trouble/hiccups/hang-ups. Such as: doctor needed in multiple places at the same time, habitually late patient, copays that must be collected, difficult patient, etc. Do everything in your power to start, stay & end on time, exceed patient expectations and work together as a team for a smooth & happy day.
  • New Patients / Referral Sources – Who are our new patients today and how did they hear about our office? Everyone be ready to warmly greet all patients but introduce yourselves to all new patients. Thank them for coming in.
  • Pre-op calls – Any new patients coming in tomorrow or the next day that the provider can call and welcome?
  • Same day services – Identify any patients that would benefit from same day services (fluoride, x-rays, desensitizing agents, whitening, mouthguards, better home care tools)
  • Post-op calls – Did we call yesterday’s patients to check in on them? Preferably the doctor and hygienist should make their own calls. (Who do you call? All new patients and any patients that had anesthetic, extraction, or perio therapy. Also, any patients that may have been fearful.
  • Social Media – Who will help with that today? Ask patients to like the office (or check-in) on Facebook, follow on Twitter & Instagram. So many reasons throughout the day to post to your social media sites, such as: a patient brings in a treat, to welcome a new patient to the office, a child joined your kid’s club/team, celebrate a beautiful cosmetic restoration/teeth whitening, etc.
  • Testimonials/Reviews – Who is a candidate for providing a testimonial/review? Be alert throughout the day to ask for testimonials/reviews. Especially when a patient compliments the office on something… ask for a written or online testimonial. Take their picture (with permission) to post on your social media sites/website. NOTE: If a patient that is coming in for today has previously filled out an online survey be sure to review it. If they had a problem make certain it’s not repeated, if it was praise be sure to thank the team and the patient!
  • Goals – Look at Production, Scheduling & Collection goals for yesterday, today and tomorrow. Reminder to collect all co-pays at time of appointment!!
  • Treatment plans – Remember, offer the very best treatment options to your patients, let’s not “watch” or “wait until next visit” chances are it will only worsen. Let the patient decide for themselves! Were there any patients that came in yesterday that we treatment planned and they did not schedule an appointment? WHY?
  • Conclusion – End the meeting on a positive note. Tell a funny joke, read a positive quote and/or thank your team. Watch a quick motivational, educational or funny video clip. This meeting sets the tone for the day… Make it a happy one! Let’s go change someone’s life or at the very least help them smile bigger and healthier!

Here are a few additional tips for a successful morning huddle:

  • Come prepared! Have ready copies of the schedule (today and tomorrow). Charts/treatment should be reviewed the day prior to the huddle. Be sure to have available your collection, scheduling and production goals for today and tomorrow and yesterday’s results.
  • Stand for the meeting. This helps to keep the huddle on time and hold everyone’s attention.
  • Maintain a positive attitude regarding the importance of DAILY morning meetings.
  • Use a check-list! This will help you stay on time and cover all points.
  • FOOD! Every once in a while surprise the team with bagels, donuts, coffee, muffins, etc.

I strongly encourage you to implement daily morning huddles, simply because I know that they’re effective and I want all of you to have happier, more productive and stress-free work days!

Are you looking for a fun way to thank your patients for their referrals and encourage your patients to tell their friends, family, neighbors and co-workers about your office? A great and inexpensive way to do this is to present them with an unexpected gift at their appointment. A while back I shared many of these ideas with you but I made some revisions and added some pictures of real life examples that I thought you all would appreciate.

Here are a few ideas for you…

GIFTS in WINTER:

* Tea *

Attach your business card or a special offer to green tea packets as a special give-away for your patients. Even if they don’t drink tea they can give it to a family member, friend, co-worker or a neighbor. Easy and inexpensive way to advertise your office and exceed your patients expectations. The label/tag may say:

“Our Patients are TEA-riffic!”

* Candle *

Mini candle jars make a nice gift. Attach a tag or label with your office info and one of these sayings:

“Our Patients Are Scentsational”

“Your Referrals Warm Our Hearts”

* Lotion *

Pass out little bottles of lotion. If they are not imprinted with your office name add a tag to the bottle with your office name and website with this saying…

“Hands Down We Have The Best Patients In Town!”

* Soup *

Here is a delicious gift idea for Winter: “Warm-Up Wednesday’s” Set up a slow cooker with soup or chili every Wednesday for your patients to enjoy. (Have recipe cards ready to share) Your patients will love the free food!

* FREE Food – Gift Certificates *

When in doubt, food is a great way to your patients hearts…especially, free food. This is also an opportunity to do some cross marketing with local businesses. Ask them to donate gift cards for free food/drink. Or you can purchase gift certificates to give away to your patients on special days. Check out these ideas:

* Flower/Herb/Veggie Seed Packets *

Flower Seed Packets w/a label and business card attached. Flower seed packets can be purchased at most Dollar Stores for around .20 a packet. Great deal! The labels you attach to the flower seed packets could say:

“Our Office Blooms Because of you!“

“Please enjoy these flowers growing as much as we enjoy your referrals growing our practice.”

* Honey *

Give your patients gifts of little jars of honey. Attach a tag saying:

* Mini Sunscreen *

Give away mini bottles of sunscreen. If you don’t have them imprinted with your office name, simply add a tag to the bottles.

* Free Ice Cream Cone Certificates *

Team up with local ice cream shop for donations of free ice cream cones

* Zucchini *

Sneak Some Zucchini Onto Your Neighbor’s Porch Night. (I’m serious, it’s a real day in August!) While you probably don’t want to visit your patient’s homes during the night you can easily have a basket of zucchini at the office for your patient’s to take. Wrap some ribbon and a business card with a zucchini recipe on it for your patients to sneak onto their neighbors porch during the night.

Warm or cold cider is a nice fall treat. You don’t need to give every patient their own jug of cider a small cup of cider will be well received and appreciated. Include a sign near the cider that says:

Pinterest has some really neat ideas for inexpensive and fun s’more kits.

Offer Xylitol samples of Gum, Mints, and Suckers

* Donuts *

Who doesn’t enjoy a yummy donut every once in a while? Display a platter of donuts at the front desk or at your patient beverage station with a sign that says:

Donut Know What We Would Do Without Wonderful Patients Like You!”

* Bath Salts/Sugar Scrubs *

Consider making bath salts or sugar scrubs as a team building activity. Give away as gifts to your patients.

Tip: Pinterest is loaded with recipes and super cute packaging ideas.

* Lip Balm *

Order imprinted lip balm and attach cute tags to the packaging with this saying…

“Our Patients are the Balm!”

* Gift of Health Certificates *

Instead of just asking your patients to refer their friends, family, neighbors and co-workers to your office, give them a gift of health certificate to share with their friends, family, neighbors & co-workers.

Perhaps there is a patient coming in this week for treatment that is experiencing serious financial hardship and would benefit from some extra kindness by you donating some of their dental treatment.

Black Friday – Offer Special Pricing on Teeth Whitening & Electric Toothbrushes, Ortho Consult or a New Patient Visit.

Flossing day: 29th – Post fun floss facts & tips on your social media sites. Make a video and share on Facebook, YouTube & Pinterest demonstrating proper flossing techniques.

Dental Gift Certificates Make Great Presents

Hello Friends,

I wanted to share a quick tip with you all. A super easy way to possibly increase collections, production and fill some openings in the schedule. Here it is: Gift Certificates! (I’m sure the title of this post already clued you in 😉 )

Are you offering gift certificates for purchase in your dental office? If not, you should be. Certainly, you’ll have some patients looking for that perfect gift for their favorite grad, dad, mom, or special someone this spring and summer. Save them the awful trip to the mall. Make it easy for them to get their shopping done. Who wouldn’t want a beautiful, white smile for summer? Maybe even a beautiful, straight smile with Invisalign?

How do you do this? Place nicely framed signs in your reception room and treatment rooms with the suggestion that gift certificates to your office will make a great gift.  Have a tasteful display of a themed (ex: congratulations grad) gift wrapped box, or a teeth whitening product box wrapped in a bow… you get the idea.

Inform your patients and potential patients via your office website, social media sites, newsletters and postcards about this gift idea.

Perhaps, offer special pricing on teeth whitening and/or Invisalign for a limited time as an incentive for your patients and potential patients.

In addition to gift certificates, you might suggest electric toothbrushes as a thoughtful gift. Wrap your electric toothbrush with a bow and gift tag and put it on display.

Additional tip: When these patients call to schedule their appointment to redeem their gift certificate and then come in for their appointment…wow them!  Exceed their expectations and gain a loyal patient.
