Dental Office Appreciation Ideas for Teachers, Nurses, and Police Officers during May 2022

Hello Friends,

The month of May brings many wonderful opportunities to reach out to and build relationships and show our appreciation to more people in the community. Here is why:

During the month of May you have:

Teacher Appreciation Week: 2nd – 6th

National Nurses Day and Week: 6th -12th  

National Hospital Week: 8th – 14th

National Nursing Home Week8th -14th

National Police Week:  15th -21st

We don’t need a “reason” to celebrate and aknowledge our hard-working and awesome teachers, nurses, and police officers however the month of May gives us that extra boost to do so. Don’t let this great opportunity and privilege to reach out to the teachers, nurses, and police officers in your community pass you by.

How can you reach out to them? Here are a few ideas for you:

First, let’s start with any of your patients that are teachers, nurses, or police officers.

Run a report with any patients that are school teachers, nurses, and police officers and send “We Appreciate You” cards to them. Unexpected and very much welcomed.

Put together some little thank you gifts to give your patients that are teachers/nurses/police officers when they come in for their dental appointment during the month of May.

Second, reach out to the teachers, nurses, and officers in the community that are not “yet” patients at your office.

Host a Favorite Teacher/Nurse/Police Officer Contest and promote it via your social media platforms. Invite the community to nominate (TAG) their favorites. The winner receives FREE teeth whitening (or another special offer), a gift card to a local business, and a certificate stating they won (your office name) for the favorite teacher/nurse/police officer contest in your community.

You could easily ask for donations of prizes or gift cards from local businesses to add to the winning prize.

Deliver treats and/or toothbrush bags to your local schools, hospitals, doctors’ offices, fire station, and/or police stations.

At the very least you can use your social media platforms to show your love and appreciation for these special and hard-working folks in the community.

There are so many ways to celebrate teacher appreciation, police officers, and nurses’ week in your dental office.

Whether or not you’re a fan of baseball, celebrating Opening Day and the Baseball season with your team and patients is a great way to have more fun and exceed expectations.

Here are a few ideas that you can use any time during the baseball season…

  • Wear your favorite baseball team gear.
  • Encourage your patients to dress up too.
  • Decorate the office.
  • Take lots of pictures to share on your social media pages.
  • Special Offer on Sport Mouthguards for the Month of April
  • Share sports-related dental health tips on your social media pages.
  • Sponsor a local baseball team.
  • Have a Raffle to win baseball tickets or a baseball themed Gift Basket in exchange for Facebook likes, check-ins, and Reviews/Recommendations on Google and Facebook

February 2022 Management and Leadership Tips and Ideas

Team BuildingNational Chili Day 24th – Have an in-office chili cook-off lunch. Everyone brings in a crockpot of chili. Have prizes for the best tasting, most unique, etc.

Random Acts of Kindness Week: 13-19 – Do something special for your employees this week. Bring in an unexpected sweet treat or small gift to let them know just how much you appreciate them. (By the way, your doctor would also appreciate an unexpected act of kindness this week!)

Reappointments and Reactivation – Now is a great time to reach out to your unscheduled patients both active and inactive patients. Do you know how many of your active patients are unscheduled? (If your practice management software is Dentrix, Eaglesoft, or Open Dental I can help you quickly get those numbers. Just send me an email to bhaydenconsulting@gmail.com and let me know that you’d like to get the FREE data analysis.)

Make a plan to reach out to your unscheduled patients. Rather than just calling to ask if they would like to schedule an appointment, use this occasion to simply check-in to see how they’re doing and let them know you’re thinking about them. This is about building and strengthening relationships

Take advantage of all the different communication methods to reach your patients – telephone, text, email, letter/cards, and your social media pages.  You’re planting little reminder seeds that you are still here for them during these crazy times.

Insurance Claims – Send out “clean” insurance claims with the correct information, provider, date of service, Xrays, attachments, and documentation.  Your goal is to not have any unpaid claims sitting out there past 30-60 days.  (Did you know that your collection percentage drops significantly after 90 days past due? Over 120 days past due it drops to about 30% – you lose a lot of your money the longer these claims sit out there. Worse yet, you run the risk of the claim not being paid at all!)

What does your insurance aging report look like? How often are you checking on outstanding insurance claims? Who is monitoring and working on your aging reports, daily?

February is National Time Management Month – Respect others time and your time will be respected

Review your office systems and protocols to ensure that everyone is using their time efficiently and effectively. Arriving at the office with plenty of time before the first scheduled patient, expecting your patients to arrive on time, never waiting on hygiene exams, calculate the actual amount of time it takes to do procedures, control the schedules, these things will help you stay on time.

If you’re often running behind schedule, investigate the reason(s) why. If you know the why… change whatever it is causing you to stray from the schedule. Running behind schedule sends a message to your patients AND your team that you don’t respect their time. Respect your team by sticking to the scheduled work hours. Be sure that they are not habitually working through their lunch or having to work late. They need breaks to refresh and refuel. Give them that.

Where are you taking your Dental Practice?

Hello Friends,

As you’ve entered the last month of the second quarter for this year, are you happy with where your practice is heading? Do you know where you’re taking it?

I hope that you are happy with where you are taking your practice! However, if you’re not happy or you feel you could be “happier” there is good news, you still have some time to make that happen. To do that though, you need to know where you’ve been and where you’re at now.

If you don’t know where you’ve come from, you don’t know where you’re going.” – Maya Angelou

Knowing your practice numbers and doing something with what you know about those numbers is key to growing and improving your practice. Numbers tell a story. Numbers tell you if your practice is healthy or unhealthy.

Get a baseline of where you’re at to set goals for where you want to go.  For example,

  • Overhead – Evaluate your true costs of doing business. What does it cost you per hour to keep the practice running?
  • Supplies – What is your supply budget vs what you are actually spending?
  • Payroll – What is your payroll percentage? Are you hygienists producing 3.3 times their salary?
  • Collections – Are you collecting what you produce and how long is it taking to collect your money?
  • Adjustments/Write-Offs – Are you closely monitoring your adjustments and write-offs?
  • Production – What are your hourly, daily, monthly, and yearly restorative and hygiene production goals?
  • New Patients – How many new patients do you want per month? What are you doing to welcome more new patients each month?
  • Attrition – How many patients are you losing each month and why?
  • Treatment Acceptance Vs Diagnosis – How many of your patients are saying yes to your best care? How are you keeping track of your unscheduled treatment plans?
  • Office Culture – Do you have high employee turn-over? Do you have an attractive office culture? Do your employee fully and willingly support your mission, vision, and core values?
  • Broken Appointments – What is your monthly broken appointment percentage?

If your numbers reveal unhealthiness be quick to act and get help to restore your practice to health and happiness.

Clearly defining your why and inviting your team to support you will help to keep everyone on the same page, working together for the greater good of the practice.
