Patient & Community Educational Ideas:

National Alzheimer’s Disease Month – The bacteria that cause gum disease are associated with the development of Alzheimer’s.

November is Diabetes Month – All month-long share posts on your social media platforms regarding the importance of regular preventive dental visits to the dentist. When you have diabetes, high blood sugar can take a toll on your entire body — including your teeth and gums.

X-Ray Day: 8th – Create a short video or post about why radiographs are necessary and their safety to share on your social media platforms.

Great American Smokeout: 17th (Dangers of smoking, chewing, and vaping)

Marketing Tips & Ideas

Monthly Theme Idea: Gratitude (November is National Gratitude Month)

For your patients: Invite your patients to share what they’re grateful for (turn it into fall decorations by having them fill out fall leaves that you hang on the wall.)

For the community: Visit local businesses with a gift and a note of gratitude for what they do for the community. Or each week feature a local business on your FB/IG pages that you are grateful for.

Reviews/Recommendations – Set a goal to get a certain number of reviews/recommendations to your Facebook and Google pages during the month of November.

Here are some office management reminders and leadership ideas for October 2022

October is Employee Ownership Month – Encourage and lead your employees to take on an ownership mentality. The benefits: Taking ownership of your work helps with motivation in your job role, as it empowers you to ask questions, develop ideas, provide solutions to problems, be proactive instead of reactive, and ask for constructive feedback.  Employees can be the driver behind the success of the practice. It is vital that you provide your team with the support and resources they need to develop and become more engaged.

Employee Appreciation Gift – Taco Day 4th – Bring in tacos for lunch for the team to enjoy.

Boss’s Day: October 17th – Plan now to make this a special day for your boss(es).  (Usually, it is on the 16th but moved it to the 17th because it fell on a weekend day.)  Plan now to make this a special day for your boss(es).

Practice Management Reminders & Ideas: 

Insurance Use it or Lose it Reminders – Did you get your end-of-year insurance dental benefit, HSA, and FSA use it or lose it reminder letters/emails/texts/calls out? 

Stay on Time & Take Control of your Schedule – If you’re often running behind schedule, investigate the reason(s) why. If you know the why… change whatever it is causing you to stray from the schedule.  If it’s your schedule that is the problem, remember this, you have control of who, what, when, and how the appointments are scheduled. Arriving at the office with plenty of time before the first scheduled patient, reserve time/holds for new patients, perio patients, and emergencies, expect your patients to arrive on time, never wait on hygiene exams, calculate the actual amount of time it takes to do procedures, and control the schedules, these things will help you stay on time and enjoy smoother, productive, and less chaotic days.

Whether or not you’re a fan of baseball, celebrating Opening Day and the Baseball season with your team and patients is a great way to have more fun and exceed expectations.

Here are a few ideas that you can use any time during the baseball season…

  • Wear your favorite baseball team gear.
  • Encourage your patients to dress up too.
  • Decorate the office.
  • Take lots of pictures to share on your social media pages.
  • Special Offer on Sport Mouthguards for the Month of April
  • Share sports-related dental health tips on your social media pages.
  • Sponsor a local baseball team.
  • Have a Raffle to win baseball tickets or a baseball themed Gift Basket in exchange for Facebook likes, check-ins, and Reviews/Recommendations on Google and Facebook

February 2022 Management and Leadership Tips and Ideas

Team BuildingNational Chili Day 24th – Have an in-office chili cook-off lunch. Everyone brings in a crockpot of chili. Have prizes for the best tasting, most unique, etc.

Random Acts of Kindness Week: 13-19 – Do something special for your employees this week. Bring in an unexpected sweet treat or small gift to let them know just how much you appreciate them. (By the way, your doctor would also appreciate an unexpected act of kindness this week!)

Reappointments and Reactivation – Now is a great time to reach out to your unscheduled patients both active and inactive patients. Do you know how many of your active patients are unscheduled? (If your practice management software is Dentrix, Eaglesoft, or Open Dental I can help you quickly get those numbers. Just send me an email to bhaydenconsulting@gmail.com and let me know that you’d like to get the FREE data analysis.)

Make a plan to reach out to your unscheduled patients. Rather than just calling to ask if they would like to schedule an appointment, use this occasion to simply check-in to see how they’re doing and let them know you’re thinking about them. This is about building and strengthening relationships

Take advantage of all the different communication methods to reach your patients – telephone, text, email, letter/cards, and your social media pages.  You’re planting little reminder seeds that you are still here for them during these crazy times.

Insurance Claims – Send out “clean” insurance claims with the correct information, provider, date of service, Xrays, attachments, and documentation.  Your goal is to not have any unpaid claims sitting out there past 30-60 days.  (Did you know that your collection percentage drops significantly after 90 days past due? Over 120 days past due it drops to about 30% – you lose a lot of your money the longer these claims sit out there. Worse yet, you run the risk of the claim not being paid at all!)

What does your insurance aging report look like? How often are you checking on outstanding insurance claims? Who is monitoring and working on your aging reports, daily?

February is National Time Management Month – Respect others time and your time will be respected

Review your office systems and protocols to ensure that everyone is using their time efficiently and effectively. Arriving at the office with plenty of time before the first scheduled patient, expecting your patients to arrive on time, never waiting on hygiene exams, calculate the actual amount of time it takes to do procedures, control the schedules, these things will help you stay on time.

If you’re often running behind schedule, investigate the reason(s) why. If you know the why… change whatever it is causing you to stray from the schedule. Running behind schedule sends a message to your patients AND your team that you don’t respect their time. Respect your team by sticking to the scheduled work hours. Be sure that they are not habitually working through their lunch or having to work late. They need breaks to refresh and refuel. Give them that.
