Dental Office Tips and Ideas for October’s National Apple Month

Hello Friends,

“You are the sunshine of my life That’s why I’ll always be around, You are the apple of my eye, Forever you’ll stay in my heart.” – Stevie Wonder

This post isn’t about songs with the word apple in them, it is, however, about planting dental marketing seeds during October’s National Apple Month. We’re going to use apples as our dental marketing seeds.

Do you enjoy the dental leadership, management, and marketing tips and ideas that I share each month?   I would love and truly appreciate for you to please leave a review/recommendation for me here on GOOGLE and/or FACEBOOK

Ready to celebrate apple month? Here are some dental tips and ideas to help you do just that…

fall dental marketing ideas

Exceed Patient Expectations –

Give-Away – Set out a nice bowl/basket of apples to give to your patients’ and visitors to the office.

Gift Basket Drawing – Make an Apple tree and every time a patient comes in for an appointment during the month you add an apple with their first name on it (full name on the back) and use it for a drawing to win an apple-themed gift basket filled with goodies.

You could even promote that via your social media sites. (Perhaps extend the drawing to new office Facebook likes.)

Events in the Community – Create a hand-out for your patients listing the best local cider mills and apple orchards. Include any fall-themed events taking place in your community. You can also post local fall-themed community events to your office Facebook page.

Relationship Building /  Marketing to local businesses ~

Who will you visit in the community?

  • Schools
  • Salons
  • City Hall / Police Station / Fire Department
  • Library

And anywhere else you think might be a good place to bring in new patients from. At the very least, you’ll be building healthy & fun relationships with the folks in your community.

What will you bring?

  • Basket of Apples
  • Donuts and Apple Cider
  • Apple Pie
  • Toothbrush or Lip Balm attached to an apple-shaped gift tag.

Be sure that when you deliver these items, your office information is visible. Maybe include some sort of call to action special offer.

Visit my Pinterest Apple board for more ideas.

An apple a day won’t keep your dental office away!

Marketing via your Social Media Sites: Here are just a few ways to utilize your social media sites during apple season.

Facebook –

Post the dental health benefits of apples, apple recipes, & craft ideas to your office Facebook page. Solicit comments, likes, and shares.

dental office facebook content apple month betty hayden

Invite your patients to:

post a picture of themselves apple picking or at a cider mill onto your office Facebook page.

(Have your team members do this as well.)

Team Building Activity – Get your team together to make apple sauce, apple pie filling, caramel sauce, or an apple/cinnamon sugar scrub. Put it in little jars with a ribbon and label with your office information. You can then give away as gifts to your new patients and or referring doctors/specialists. How fun is that?!

So many different ways to help exceed the expectations of your current patients and to hopefully, bring in many new patients just by planting little seeds every chance you get or create.

Dental Insurance Benefits (Use it or Lose it) Reminders, Tips, and Ideas

Dental Insurance Benefits (Use it or Lose it) Reminders, Tips, and Ideas

Hello Friends,

It’s that time of year when we should start sending out dental insurance use it or lose it reminder letters regardless if your patients are ready to hear that or not.

The month of September is a great month to get started on your “Use it or Lose it!” letters and emails out to your patients. This is for all of your patients that have dental benefits that renew on January 1st and/or patients with FSA or HSA dollars that expire at the end of the year.

end of the year dental maximum renewal reminders

Especially helpful for your patients that are /pastdue/due/or due this year for their hygiene visit and/or with treatment that is yet to be started or needs to be completed and their remaining dental insurance maximums are getting ready to expire.

Time to remind them to Use it or Lose it! – Get your letters, emails and text messages out to your patients reminding them to use any insurance benefits they have remaining for the year to complete any needed treatment or for their continuing care hygiene appointment before they lose them.

Remember, the closer it gets to the end of the year the more difficult it becomes to get them to schedule and you may not even have room in your schedule to accommodate them.

Your goal is to get them from the filing cabinet/computer to the schedule!

Personalize  – When mailing out remaining maximum letters, be sure to customize for each patient according to their treatment plan. This will help to re-create the urgency and value for treatment.  For some patients, it will take some type of additional incentive to get them to act. Perhaps, include a gift certificate for $ off of their treatment if it’s completed and paid for by December 31st. Not redeemable for cash. Or the opportunity to enter a raffle for a really great prize!

Need ideas for what to include in the reminder letter? Feel free to email me at bhaydenconsulting@gmail.com and I will send you a sample letter that you can customize for your office.

Take this opportunity to add a P.S. message to the end of your letter, telling your patients all about your specials on teeth whitening. Many people at this time of year are looking to whiten their teeth for their end of year celebration family photos, or to buy gifts for family and friends.

For example…

P.S. Now is a great time to whiten & brighten your smile for your end of year celebration photos. We have some fantastic whitening specials! Teeth whitening gift cards also make a wonderful gift.

P.P.S. Did you know we are on Facebook, Instagram, & Twitter? “Like” us on Facebook at … and “follow” us on Instagram, and Twitter at …  / This way you can stay up to date with all our office events & news plus have a chance at exclusive offers & contests.

Mailing Tip –  Use a bright-colored envelope and neatly hand-write the name and address. Use a “live” stamp. This will take a little more time to do but your patients are more likely to open an envelope that looks like it’s from a friend and not their dentist.

Phone Calls – About a week after you mail out your letters, go ahead and start calling them to see if they received the letter and to schedule them an appointment.

Document – Be sure to document that a letter was mailed, phone calls were made and what type of response you received from each patient.

Important Reminder – Before sending out these letters and making calls to your patients be sure to review your upcoming appointment schedule… Where is your open chair time? Will pre-blocking some open time be helpful? Also, before scheduling last-minute appointments that require lab work at the end of the year be sure to communicate with your lab guy/gal that they can, in fact, get these cases back to you in time.

Social Media – Use your social media platforms to remind your patients to use their dental benefits before the end of the year.

Dental Employee Negativity and Conflict Resolution Tips and Ideas

Dental Employee Negativity and Conflict Resolution Tips and Ideas

Hello Friends,

Have you ever experienced the headache of dealing with a negative employee/co-worker or one that seems to always stir up conflict? Maybe you’re dealing with this happening now in your office.

As much as we may not want to talk about it or hope the “problem” will just go away – this is a topic that should be discussed with the offender(s) and as a team.

Why? Conflict & Negativity Happens! Make a plan and an agreement as to how all office conflict and negativity will be addressed and resolved.

Betty Hayden Consulting Dental Team Conflict Resolution

Steps to deal with office conflict:

  1. Calm down and talk with the other person. (Don’t go to anyone else to discuss the conflict.)
  2. Attack the problem, not the person. Focus on behaviors and events.
  3. Listen carefully – listen to understand and not to be understood.
  4. Brainstorm solutions with a focus on the future, what it will take to move forward.
  5. Celebrate your Success.

For additional ideas visit Forbes.com for 5- Keys to Dealing with Workplace Conflict.

To manage conflict and negativity, Excellent Communication is Essential.

Communication  –

  • Job descriptions and expectations must be clearly defined. This is a great time to ask every team member to write a list of their job description and responsibilities. Have them indicate next to each task how often it is done (daily, weekly, monthly, yearly, varies, etc.). This will help you determine if and when and by whom these tasks are being accomplished. You might find some important tasks are not being done at all or not often enough and so on.

  • Team Meetings/Morning Huddles are essential for a happy and smooth workday. Visit HERE for some tips on how you can have a successful morning huddle.

  • Address quickly any needed discipline or correction, don’t wait for a staff meeting to address these problems. Instead, meet one on one with the offender.

  • Avoid office negativity, it’s toxic and will infect your team – Rather, focus on and share positive experiences.
  • Your team must know the why, what, and how of your vision. They may know the what and the how but not the why, oftentimes, this is why employees are there just to collect a paycheck. Talk about what you believe and attract those who believe what you believe. People buy the why not the what.
  • Positive Gossip Only! Entire team agrees to stop gossip. Refuse to listen to it. Rather, encourage the person to go directly to the other person they have an issue or complaint about. Unless of course, they can let it go and move on.
  • Acknowledge good behavior and actions. Reward the behavior that you want to see more of. Your team needs to hear how they’re doing and what appreciated for what they’re doing right.

How to have the best dental team

In addition to communication, Proper Training is Imperative–  Don’t hold back in this area! Invest in your team. Thoroughly train any new employees on your practice goals, systems, software, telephone skills, dental procedures, protocols, etc.  However, training isn’t just for your new employees, everyone in the office needs regular training. This leads me to the next point…

Continuing Education – Continuing education, not just for the providers but for the entire team is a wonderful way to ensure practice growth. Not to mention, it’s a great team-building experience, one that will give you a happier and motivated team. Think about this, your administrative team is the first and last impression made on each and every one of your patients. This includes potential patients that call your office. Certainly, you want to have the very best training and education for not only your clinical team but your administrative team too. You can do this with in-office training, webinars, lunch and learns, and seminars/classes outside of the office.

For example, have you heard about The Best Seminar Ever? Better known as TBSE? This is absolutely the best seminar I have ever been to. If you’re ready to boost your team and take your practice to the next level, please check it out here: TBSE -The Best Seminar Ever
