Leadership Tip

You Matter to Me Day: October 7th. – No employee will ever complain about being over-recognized and appreciated. Let your employees know just how much they matter to you. Employee appreciation is directly linked with job satisfaction, productivity, happiness at work, and overall team morale. Make sure they feel appreciated and valued!

Boss’s Day: October 16th –  Plan now to make this a special day for your boss(es).

Practice Management Reminders...

Get Proactive – Look ahead at the doctor & hygiene schedules for the rest of the year. Plan now for how you’ll reach/exceed your scheduling, production, and collection goals for the final quarter. Have you reserved some time at the end of the year to accommodate emergencies, lab case treatment, and those patients who wait until the last minute to use their insurance benefits?  Remember, you get to control the schedule. Stressful & chaotic? Or Productive and smooth?  Your choice 🙂

Insurance Renewal Letters – Send out your Insurance and HSA/FSA “Use it or Lose it” reminder texts, emails, and letters. Make calls to patients with unscheduled treatment plans and/or due in hygiene. Have you gotten started on this?

Here are your Management, Leadership, and Team Building Ideas for August. Enjoy!

Practice Management Reminders and Ideas

Schedules – If your office schedules typically slow down in August/September, what plans have you made to fill holes in the schedule, increase same-day services, and keep the working day productive?  Don’t leave it to chance. Make a list of productive tasks that may be done during any slower times.

How many visits are scheduled compared to capacity? Too many holes? Do you have time reserved for new patients? How are you planning to stay in touch with unscheduled patients? Consider offering some type of gif basket/prize that your patients can enter to win during the months of August & September when they come in for their appointment.

Emergency Medical Plan – Is your office and team prepared and equipped to handle a medical emergency? Is your emergency medical kit up to date?

The components of a sound medical emergency plan for the dental office should include:

  • Medical emergency prevention
  • Development of an action plan
  • Recognizing a patient’s distress and management of medical emergencies
  • Emergency drugs and equipment

Leadership Tips

If you want to see a positive change in your practice, you must consistently lead by example… be the change. It starts at the top. You set the tone for the day, and make certain that it’s a happy & productive one. This includes any employee in a management position – if you have employees complaining about your office manager, take it seriously. A toxic (toxic negativity and/or toxic positivity) office manager will destroy your practice over time, at the very least, cause a staff turnover nightmare.  In fact, any employee that is toxic to your vision, to your team, and/or your patients…needs to go. It’s not easy to make the decision to terminate someone’s employment, yet absolutely necessary if you want to improve your practice.  It’s been said that “what you allow you encourage.” Once you make the decision to no longer tolerate or allow poor behavior and attitudes in your practice, you’ll breathe a huge sigh of relief.

(Don’t wait until the end of the second quarter of the year to evaluate if your and your team’s daily actions are in harmony with your practice vision and mission. )

Leadership & Team Building & Appreciation Idea

Practice improvement and growth start with you and your team! Remember, there is no way that the quality of patient care and experiences will exceed the quality of the people who provide it.

Invest in your team – Thoroughly train your employees (new & old) on your practice goals, systems, expectations, software, telephone skills, dental procedures, protocols, etc.  Include regular continuing education – you can do this with in-office training, webinars, lunch and learns, and seminars/classes outside of the office.

Doughnut Day or Donut Day: June 2nd – Bring in donuts for the team!

 

 

Recess at Work day is June 15th – Get outside for a few minutes with your team for some fresh air. If you can’t all get outside, open the windows, and turn up the radio.  How about a sweet treat to enjoy during “recess”? (ex: ice cream, frozen drink, etc.)

Practice Management Reminders & Ideas

Unscheduled Patients – Now is a great time to reach out to your unscheduled patients both active and inactive patients. Why? Because for your patients to smile healthy they need to schedule the treatment you’ve diagnosed and to come in regularly for their hygiene continuing care appointments.

Some questions to consider:

  • Of your active patients (seen in the last 18 months) how many have a next appointment scheduled and how many do not?
  • What systems are in place to ensure the team is staying in touch with your unscheduled patients?
  • How many patients left the practice this year?
  • What can you do together as a team to retain more patients by consistently exceeding their expectations?
  • What can you do together as a team to help more patients say yes to your very best care? Remember, When your patients are healthy – the practice is healthy.

Knowing your practice numbers and doing something with what you know about those numbers is key to growing and improving your practice. Numbers tell a story. Numbers tell you if your practice is healthy or unhealthy.

Reviews & Recommendations – Ask your patients to please review your office on Google and recommend you on Facebook. Don’t simply rely on third-party companies to do this for you. It’s so simple (& free) to invite your patients to do this for you.

Treatment Plans and Financial Presentations – Always present patients with a copy of their treatment plan and financial expectations at the time of diagnosis/scheduling.   When was the last time you reviewed your treatment plan and financial presentation verbiage & systems?

Insurance Renewal – Some insurance companies renew their maximum on June 1st. Find out how many of your patients have benefits remaining that will expire at the end of May and how many will renew on June 1st. Starting now, make your Use It or Lose It telephone calls,  mail reminders, and share on social media.

Leadership Tips and Reminders

It’s true if you want your patients to consistently have great experiences, accept your treatment recommendations, and refer their friends, family, neighbors, and co-workers to you – it takes a quality, happy, and productive team. Of course, though, it starts with you!

Set the Example / Lead by Example – Treat your employees how you would like them to treat your best patient. 😉
