Employee Spirit Month Dental Office Celebration Tips and Ideas

Employee Spirit Month Dental Office Celebration Tips and Ideas

Hello Friends,

Running a dental practice is not all about scheduling appointments and caring for patients’ smiles. It’s also about creating a positive and enjoyable work environment for your team.

March is Employee Spirit Month – Time to Sprinkle Some Fun in Your Dental Den for Maximum Smiles!

Tips & Ideas to Create a Fun and Productive Workplace in Your Dental Practice During March

In-Office Team Building Activities

Having fun at work helps in creating a stress-free and enjoyable environment. Team-building activities and events boost camaraderie among your employees. Some fun ideas include having a potluck lunch, bringing in an ice cream or coffee truck to the office, organizing craft sessions, games, puzzles, or even turning the music up for an impromptu dance session. You can also make little appreciation gifts that your team can give out to your patients at their appointments.

Boost Team Spirit with Themed Dress-Up Days

Boost trust, creativity, teamwork, engagement, and productivity within your team by introducing fun-themed dress-up days. For example, you can have Decades Day, Pajama Day, Western, Pirate Day, Fiesta, Hawaiian Day, Tacky Tourist, Sports Day, Superhero Day, or Crazy Hat Day. The possibilities are endless!

Refresh Your Staff Lounge

The breakroom or lounge plays a significant role in the workplace. It’s a place where your team can relax, unwind, and enjoy their breaks. Consider cleaning it up, reorganizing, and redecorating it to make it more inviting. Stock it up with healthy snacks and beverages for the team to enjoy. Healthier Teams

Encourage a healthy lifestyle among your team by introducing team exercise or yoga classes, serving Monday morning breakfast smoothies, or encouraging walks outside during breaks. These activities not only promote health but also provide a fun and energizing start to the workday.

Engage with Social Media

Utilize your social media pages and your Google My Business page to showcase the fun side of your office. Post fun team videos, employee work anniversaries, and fun pictures of your team and patients. This will not only boost your online presence but will also give your patients and potential patients an insight into your enjoyable workplace.

Have Fun Outside the Office

Plan fun activities outside the office like bowling, paint parties, shopping, axe-throwing, escape rooms, cooking classes, or even outdoor activities like nature hikes or pool parties. This would help in team bonding and creating a more cohesive work environment.

Community Involvement

Get involved in your local community. Participate in local events like art fairs, fundraisers, parades, etc. This not only boosts your visibility but also provides opportunities for team building. Don’t forget to take pictures and share them on your social media pages and website.

Invest in Continuing Education

Investing in your team’s continuing education is a great way to ensure practice growth. It’s also a wonderful team-building experience that can result in a happier and more motivated team. Consider incorporating a dental continuing education class with a fun event, like a CPR Course and Pool Party.

Gifts of Appreciation

In addition to simple, yet appreciated, thank you cards; Spa Gift Card, Good Ol’ Cash, Lunch/Breakfast, Purse/Tote bag, Gift Baskets, Plants/Flowers, Jewelry, Movie/Theater Gift Cards, Tickets to Sporting Events/Concert, Amusement Park tickets, Restaurant gift card, Gas cards, and Car Wash Gift Cards.

Practice Owners – Running a dental practice is more rewarding when you have a happy and motivated team. If you need help improving your dental practice, feel free to contact me at bhaydenconsulting@gmail.com for a complimentary, no-obligation coaching call.

Regular Team Training

Support your team’s growth by offering consistent training sessions. This not only equips them with the skills they need to perform their tasks efficiently but also shows them that you value their professional growth.  Make sure to give thorough training to all new hires and offer refresher courses to the existing team on practice goals, expectations, systems, software, telephone etiquette, dental procedures, protocols, and more.

Dental Office Management, Leadership, and Team Building Ideas for April 2023

Dental Office Management, Leadership, and Team Building Ideas for April 2023

Hello Friends,

What are your plans to reactivate your unscheduled patients and consistently provide excellent experiences for your active scheduled patients to exceed their expectations?

Remember that it is most important to consistently exceed your employees’ expectations. We all need a work environment and culture that refreshes us instead of being a drag and a drain on us.

What are you doing to ensure that everyone on the team is on the same page and helping you reach your practice goals?

Practice Owners, if you’re struggling to reach your practice goals or want to improve the culture and spirit of your practice – feel free to contact me for a complimentary, no-obligation 30-minute telephone consultation at bhaydenconsulting@gmail.com to see if a coaching relationship is right for you.

Here are some office management, leadership, and team-building tips and ideas for April…

Practice Management Ideas

Spring Clean your Online Presence – Friends, please take some time now to examine your website, social media pages, and Google listing. Make sure that your office information is up-to-date, with current content and photos. Check the bios, office hours, services, special offers, page links, etc. If you haven’t brought your Google business listing up to date or have yet to claim it – please do so.

Speaking of Spring Cleaning… is your office due (or maybe way past due) for a good cleaning? Check this out: Spring Cleaning and Organizing Tips for your Dental Practice

Reappointments – Keep in mind, the best way to keep your patients active is to be sure to reappoint them for their next hygiene visit when they are there at the office. Also, help more of your patients say yes to your treatment recommendations and have them reserve their appointment at the time of treatment presentation.

Hygiene Continuing Care Reminder Idea – Cleaning for a Reason Week 18-24th – “It’s time to Spring Clean your Dental Care Routine”.

Leadership

April is National Stress Awareness Month – “There cannot be a stressful crisis next week. My schedule is already full.” — Henry Kissinger

Sadly, Dentists are one of the most stressed in the healthcare industry. Bad stress can and does negatively affect your team and in turn, your patients. Eliminating stress is almost impossible, however, there are things we can do to reduce it. “Stress and unhappiness come not from situations, but how you respond to situations.” – Brian Tracy

Here are just a few tips…

  • Practice Gratitude (Focus on the good things in your life. Start and End your day with a grateful heart)
  • Set Realistic Goals (Stop trying to be a perfectionist)
  • Delegate & Stop Micromanaging
  • Control your Appointment Schedules
  • Prioritize Tasks (there can only be one most important thing at a time)
  • Create Written Systems, Checklists, and Job Descriptions/Expectations
  • Improve Communication (Communicate daily with your team. Clearly identify your mission, vision, core values, goals, and expectations)
  • Practice Self-Care
  • Take a Break (make sure you and your team get to take a break(s) during the workday)
  • Smile More (have fun at work)

Team Building/Employee Appreciation Ideas

National Fun at Work Day: 6th – Have a silly theme for this day. (For example, Crazy hair, luau, silly socks, decades day, etc.)

National Dental Hygienist Week: 4th -10th – Technically, this is a Canadian “Holiday” but more and more offices here in the United States are taking advantage of this opportunity to show some extra love and appreciation for their hygiene team.

Administrative Professionals Week: 23-29 / Administrative Professionals Day: 26th – This is the week to celebrate your hard-working and amazing front-office employees!

Same-Day Schedule Changes – Holes in the schedule are not OK. Encourage your patients to keep their reservations and for the ones that absolutely must break their appt… unless they are a habitual offender of breaking appts, PLEASE reschedule them while you have them on the phone. Refrain from asking – do you want to reschedule? Would you like to schedule? Do you want to call back to reschedule? ETC. Assume that they want to and say: “I know this appointment is important to you so while I have you on the phone let’s go ahead and reserve a more convenient time. I have ___ or ___ which works better for you?

Daylight Saving Time Begins: 12th   (Turn Ahead 1 Hour)  @2:00 am)

Would you like to see an increase in production and office collections?  Would you like to decrease the amount of time and money being spent on chasing past-due patient and insurance balances?

Here are 3 quick tips for you:

  1. No surprises! – Present the patient’s treatment plan and estimated financial portion before treatment is started. If you accept and/or participate with their insurance, have up-to-date eligibility, a breakdown of benefits, and the insurance fee schedule on file for the patient and enter into your practice management software.
  2. Payment is due before or on the day of service – No billing the patient for co-pays or payment for services. (Hint: Collecting payment at the time of scheduling/reserving the appointment will reduce cancellations and no-shows.
  3. Daily, Weekly, and Monthly monitor your patient and insurance accounts receivable, collection, and credit reports.  (Carefully review write-offs, discounts, credits, charges, and payments.)

Fall Dental Office Management and Leadership Ideas for October 2022

Fall Dental Office Management and Leadership Ideas for October 2022

Hello Friends,

October is the start of your final quarter for the year. What do you have planned to help make this your best fourth quarter ever?

Here are some office management reminders and leadership ideas for October 2022

October is Employee Ownership Month – Encourage and lead your employees to take on an ownership mentality. The benefits: Taking ownership of your work helps with motivation in your job role, as it empowers you to ask questions, develop ideas, provide solutions to problems, be proactive instead of reactive, and ask for constructive feedback.  Employees can be the driver behind the success of the practice. It is vital that you provide your team with the support and resources they need to develop and become more engaged.

Doctors, if you would like to grow and improve your dental practice and have wondered what it might be like to work with me and what coaching is all about or would like to learn what opportunities for improvement exist in your practice... please feel free to reach out to me to schedule a complimentary, no-obligation coaching call at bhaydenconsulting@gmail.com.

Employee Appreciation Gift – Taco Day 4th – Bring in tacos for lunch for the team to enjoy.

Boss’s Day: October 17th – Plan now to make this a special day for your boss(es).  (Usually, it is on the 16th but moved it to the 17th because it fell on a weekend day.)  Plan now to make this a special day for your boss(es).

Practice Management Reminders & Ideas:

Insurance Use it or Lose it Reminders – Did you get your end-of-year insurance dental benefit, HSA, and FSA use it or lose it reminder letters/emails/texts/calls out?

Stay on Time & Take Control of your Schedule – If you’re often running behind schedule, investigate the reason(s) why. If you know the why… change whatever it is causing you to stray from the schedule.  If it’s your schedule that is the problem, remember this, you have control of who, what, when, and how the appointments are scheduled. Arriving at the office with plenty of time before the first scheduled patient, reserve time/holds for new patients, perio patients, and emergencies, expect your patients to arrive on time, never wait on hygiene exams, calculate the actual amount of time it takes to do procedures, and control the schedules, these things will help you stay on time and enjoy smoother, productive, and less chaotic days.
