Dental Office Tips and Ideas for July 2020

Dental Office Tips and Ideas for July 2020

Happy Summer, Friends –

I wanted to share some Leadership, Practice Management, and Marketing Tips and Ideas with you for the month of July to help you all have a terrific, productive, and safe month.

These next few months bring wonderful opportunities to be productive and safe while helping your patients and community smile healthier and happier.  There is much that can be done now to hopefully have a healthy and productive September and October. The slow months of March and April will have a negative impact on September and October if we don’t plan now for those months to be great.

With some planning, enthusiasm, and implementation you have the chance to really set yourselves apart from the other offices in the community, welcome more new patients, exceed your current patients’ expectations (get them talking about how awesome you are!), have less stress and more fun as a team. We all need more of that.

Practice Management Tips and Ideas:

Office Yearly Goals – I understand that many of the original goals for your year have been adjusted.  Are you happy with your Production, Collection, and New Patient Goals for 2020? Would you like to adjust your office hours?

Reactivation and Reappointment – How many of your “active” patients have their next appt scheduled and how many do not?  Let us work together to ensure none of your patients are slipping through any cracks. A solid reactivation and reappointment protocol is key to keeping healthy schedules and healthy patients.

Friends, if you do not know what your office numbers look like, please examine, record, and measure these and other important key practice indicators. You need to know where you’re at currently to know how to best care for your patients and what your potential for growth is. To help you get that data quickly, like within minutes – if your PMS is either Dentrix, Eaglesoft, or Open Dental you can request a complimentary, no-obligation practice data snapshot here: Game-Changing Awareness from Dental Intelligence  – Within minutes we’ll identify your practice’s strengths and uncover hidden opportunities.  I am happy to assist you with this at no charge.

Family Friendly Offices – July is Get Ready for Kindergarten Month. Depending on your schedule, consider setting aside one or two days for “Get Ready for Kindergarten with Healthy Smiles” visits. Make it a fun experience for the children. Promote via your social media sites.

Leadership Tips and Ideas:

“Stop rationing out praise as if there will be a shortage of it when you could be replicating your best people.”   — Gregg Lederman

leadership acknowledges and praises employees dental coach Betty Hayden Consulting

Leadership acknowledges and appreciates – It’s easy to recognize mistakes or when things are going wrong but be on the lookout to recognize and acknowledge what is going right. Your employees and fellow co-workers need to hear commendation and appreciation for the good things they’re doing.  Here are a few ideas for you:

  • Verbal Commendation
  • Handwritten thank you note of appreciation
  • Bring in breakfast
  • Bring in lunch
  • Extra special: Gift card, a small gift, or good ol’ cash 😉

Employee Work Anniversaries – Who has work anniversaries in July that you can celebrate?

Social Media Post Ideas to Improve Engagement:

National Body Piercing Week: 5-10

International Kissing Day or World Kiss Day: July 6th

Chocolate Day; July 7th

National Sour Candy Day: 18th

Dental Office Tips and Ideas for May 2020

Hello Friends ~

WOW! Things have certainly changed, haven’t they? I hope that you all are staying safe and healthy. As a dental coach for many different teams, I have spent countless hours helping them prepare to start seeing patients once again.

I understand that some offices have already reopened and others are awaiting their start back dates. Regardless of the status of your office, even with all the changes to dentistry, one thing remains the same – your patients want to know you care, your community appreciates your support, and your employees need to know that you are taking steps to ensure their safety and that they’ll have a job to return to.

The Leadership, Management, and Marketing Tips and Ideas that I am sharing for the month of May will work whether your office is open or closed. Ready? Here you are: (I crammed a lot of ideas in here so surely you will find at least one thing you can implement. Haha)

Dental Office Leadership, Marketing, and Practice Management Tips and Ideas for May:

Dental Coach Betty Hayden Spring Dental Marketing Ideas

Leadership Tips and Ideas –

“Developing excellent communication skills is essential to effective leadership. The leader must be able to share knowledge and ideas to transmit a sense of urgency and enthusiasm to others. If a leader can’t get a message across clearly and motivate others to act on it, then having a message doesn’t even matter.” — Gilbert Amelio

Communication: If your office is temporarily closed, please stay in touch with your employees. Check-in on them with a telephone call or text. Schedule regular team meetings – these can be held virtually from the safety of their homes via Zoom and other platforms.  Don’t assume they know what’s going on, don’t assume they’re comfortable returning to work. Create together a plan for returning back to work.

If your office has already reopened, daily morning huddles are a must, and regular team meetings important. Schedule in advance your monthly team meetings for the year. If we don’t make time to effectively communicate it often doesn’t happen.

See: Tips and Ideas for Successful Monthly Dental Team Meetings and Dental Office Morning Huddle Agenda Tips and Ideas

Here is a fun idea for your team – May 15th is National Pizza Day – If you are back to work, bring in pizza for the team. If you are still at home, have pizza delivered to your employees’ homes as a special treat. Plus, you’re helping to support local businesses.

Learn how to lead your team, creating greatness based on high-performance expectations and principles. Produce more, Collect more, Stress-less, and have more Fun!

Dental Marketing Tips and Ideas –

Theme: National Smile Month “We Always Go The Extra Smile”

Focus: Healthy & Beautiful Smiles (Preventive & Cosmetic Services)

Goal: Bring in New Patients, Increase Production & Exceed Patients Expectations

Contest/Raffle – Family Fun & Wellness Gift Basket (Tote/Cooler) – Fill with Lawn games, BBQ supplies, Sunscreen, Citronella candles, Toothbrushes, Paper products, Chalk, etc.

Patients earn entries for Facebook engagement, FB reviews, Google reviews, and for referring new patients.

Videos – Share videos on Instagram, Facebook, and Google about what you’re doing to help keep your patients safe during this time and what they can expect as far as changes when they come in for the scheduled appts. Reassure them that just as you always have – their safety is your top concern.  Share with them what you’re doing to help them smile healthier.

Community Opportunities:  This month makes it very easy to build relationships with some of the local businesses.  Specifically, your Nurses, Police Officers, and Teachers.

During the month of May you have:

Teacher Appreciation Week: 4-8

National Nurses Day and Week: 6-12

National Police Week:  10-16

See here: Dental Office Appreciation Ideas for Teachers, Nurses, and Police Officers for some ideas on how you can celebrate and acknowledge these amazing people in your community.

Educational Opportunities:

May is Save Your Tooth Month and Root Canal Appreciation Week: 3rd – 9th and Root Canal Appreciation Day: 11th

What can you do with that? Share with your patients in person or via your social media platforms the importance of saving their natural teeth. Explain what root canal procedures are and how they help.

National High Blood Pressure Education Month

Are you consistently taking your patients’ blood pressure?  If not, now is a great time to start.

dental office blood pressure betty hayden consulting

Many people see their dentist more regularly than a physician and could get an early warning about high blood pressure when getting their teeth cleaned or having other dental treatment done.

Dr. __ and our team are not only interested in your oral health but your overall health. We take every precaution necessary to ensure that you will leave happy and healthy. We look forward to seeing you soon at your next appointment!

Practice Management Tips & Ideas:

Friends, if you do not know what your office numbers look like, or how many of your active patients are unscheduled, or how many patients were canceled and not yet rescheduled during COVID, and so many other important key practice indicators; please take note of what those numbers look like. This will help you reopen your practice with a baseline to work from and guide you.

Social Media Post Ideas to Improve Engagement during the month of May

Side Note: Now more than ever it is important to stay connected with your patients (and the community) via your social media platforms and Google My Business.  Don’t overthink it. Have fun with it. In addition to posts and pictures, create some brief videos to share as well.

Drinking Water Week: 3rd-9th (Share the dental health benefits of drinking water)

World Laughter Day: 3rd (We all can use more laughter!)

National Piercing Day: 16th (Share risks of oral piercings)

Eat More Fruits & Vegetables Day: 21st

Dental Office Tips and Ideas for December 2019

Hello, Friends ~

December is the last month of your final quarter for 2019.

Winter Dental Marketing Ideas from Dental Coach Betty Hayden

What does December typically look like in your dental practice? Schedules jammed with patients trying to use their remaining dental insurance benefits before they expire? Patients breaking their appointments same-day because they’re too stressed out or financially strapped to think about going to the dentist? What about you and your employees – do you mentally check out thinking about your time off for the holidays? Or is it just another stress-free and perfectly productive month? Haha – you have months like that, right? 😉

Regardless of what December usually looks like in your office – take some time now to plan for how you will keep/get a full and productive schedule all month long without any extra stress.  I know that we can’t control the schedule 100% because well you know… life happens. However, we certainly can plan to end the year on a happy note.

I put together a few dental leadership, marketing, and management tips and ideas to help you do just that.

Marketing Tips & Ideas

Cookie Cutter Week: 1-7 – Purchase a variety of cookie cutters to individually package and seal with an office label that says: “Our Patients Are a CUT Above the Rest!” See more patient gift ideas here: Patient Appreciation Gift Ideas

betty hayden consulting dental office tips and ideas winter

Travel Toothbrush Bags – Many of your patients travel during the holidays – Surprise them with a small gift for their travels. Put together toothbrush bags that include a toothbrush, floss, toothpaste and a “what to do in a dental emergency” handout. You could also include other travel sized items such as lotion, Advil, lip balm, etc.

Community Involvement: Donations –  Open your office as a Drop-Off Location for donations of non-perishable food items or winter gear for families/individuals in need.

Oftentimes, local print & TV news will pick up these types of stories. (Especially around the holidays.)

Educational Opportunity: National 12-hour Fresh Breath Day: 12th –Create a few short videos for your social media platforms about the possible causes of bad breath as well as some tips and remedies to keep their breath smelling fresh.

Practice Management Tips & Ideas

Incomplete Treatment:

Do you have any patients with incomplete treatment or ones that are due/past due in hygiene with remaining insurance benefits that will expire at the end of this year? Do what you can to help them see the need and value in scheduling an appointment this month. Some offices invite their patients to take advantage of “today only” special offers that they share via their social media sites, email blasts, and telephone calls.

Be alert to any patients that are coming in with the doctor or hygienist and have incomplete treatment or are due in hygiene. If the schedule allows, encourage them to take care of both at the same time. This means carefully reviewing all charts in advance of the appointment.

Homecare Products:

December is a great time for Special offers  on Electric Toothbrushes

Cosmetic Dentistry Opportunity:

Many of your patients will be attending holiday parties/events during the month of December. Typically with these special occasions come a lot of picture-taking. Now is a great time to help them see how they can easily get their smile ready for the camera with teeth whitening and other cosmetic treatment/procedures.

Gift Certificates:

Remember, Gift Certificates/Cards for Teeth Whitening or Dental Treatment should always be available for your patients to purchase as gifts for their loved ones.

Leadership Tips & Ideas
