Leadership and Team Building

“Outstanding leaders go out of the way to boost the self-esteem of their personnel. If people believe in themselves, it’s amazing what they can accomplish.” – Sam Walton

Training – Are you investing in your team by making sure they have proper training and retraining? For example, are you utilizing your practice management software to its full potential? Have you all been “properly” trained on how to use it?

January is Get Organized Month – This is a great time to get rid of any office clutter! Check the closets, cabinets, drawers, and desks for any clutter that can be organized, put away, or tossed. Clutter equals chaos. There is no room for chaos or clutter.

National Bagel Day: 15th – Bring in bagels for breakfast for the team to enjoy during your morning huddle.  

Fun at Work Day: Jan. 27th – Schedule a fun team-building activity, games, or contest for the team. Be sure to share the fun on your social media platforms.

Office Management Ideas

CDT Codes – Have you reviewed the 2023 CDT Code changes, additions, and deletions? If not, I strongly encourage you to make sure you’re up to date with coding and billing correctly.

Insurance Renewals: Many of your patients’ dental insurance maximums renewed on January 1. Phone, text, and/or email your patients with a friendly reminder of their renewed benefits and encourage them to make a reservation to come in for their hygiene wellness visit or to get started on their unscheduled treatment needs with the doctor. Include reminders on your social media pages.

Credit Report – Run your credit report. Check for any errors. Unless your patients have requested that you leave a credit on their account for future treatment – you shouldn’t have credits just sitting there.

Hello My Friends,

What does December typically look like for your dental practice? Schedules jammed with patients trying to use their remaining dental insurance benefits before they expire? Patients breaking their appointments same-day because they’re too stressed out, or financially strapped to think about going to the dentist?  Now, we can add patients breaking their appointment because they’re afraid to leave their homes and have been told that is unsafe to visit the dentist.  Or maybe your office needing to close due to a shut-down or COVID exposure.

Regardless of what December usually looks like in your office – we can expect December 2020 to look different (unusual) than years past because if there is one thing we’ve learned this year it is that things in life can change quickly and often.  

Many have become adaptability experts while looking forward to this year coming to an end. However, even with all the uncertainty and need to be adaptable, we can still plan to make the last month of the final quarter for this crazy year a HAPPY one.  We need it!

Here are a few dental leadership, marketing, and management tips and ideas to help you do just that.

Practice Management Tips & Ideas

Incomplete Treatment:

Do you have any patients with incomplete treatment or ones that are due/past due in hygiene with remaining insurance benefits that will expire at the end of this year? Do what you can to help them see the need and value in scheduling an appointment this month. Some offices invite their patients to take advantage of “today only” special offers that they share via their social media sites, emails, and telephone calls.

Do you know how many of your patients have unscheduled treatment plans and money remaining on their insurance for this year?

Be alert to any patients that are coming in with the doctor or hygienist and have incomplete treatment or are due in hygiene. If the schedule allows, encourage them to take care of both at the same time. This means carefully reviewing all charts in advance of the appointment.

Remind your patients that electric toothbrushes, teeth whitening, and dental treatment make excellent gifts!

Consider having a drawing for a gift basket or gift cards to local businesses that your patients can enter to win when they come in for their dental appointment before December 23rd.

Cosmetic Dentistry Opportunity:

Many of your patients will be attending/participating in end of year parties/events during the month of December. Now is a great time to help them see how they can easily get their smile ready for the camera (even if it is the Zoom camera) with teeth whitening and other cosmetic treatment/procedures.

December is National Write a Business Plan Month – What does your business plan look like for 2021? Meet as a team to discuss marketing ideas, production, & collection goals, new patient goals, continuing education needs/wants, and office maintenance/repairs/remodel needs. Put your plans down on paper! Be sure to include a plan of action: The Who, What, Where, When & How’s!

National Hand Washing Awareness Week: 6-12 – Purchase small bottles of hand-sanitizer with your office information on the label.  Give away to your patients during this week or throughout the month.

Community Involvement: Donations – Open your office as a Drop-Off Location for donations of non-perishable food items or winter gear for families/individuals in need.

Oftentimes, local print & TV news will pick up these types of stories. (Especially around the holidays.)

Educational Opportunity: National 12-hour Fresh Breath Day: 12th –Create a few short videos for your social media platforms about the possible causes of bad breath as well as some tips and remedies to keep their breath smelling fresh.

How can you reach out to them? Here are a few ideas for you:

First, let’s start with any of your patients that are teachers, nurses, or police officers.

Pull a report with any patients that are school teachers, nurses, and police officers and send “We Appreciate You” cards to them. Unexpected and very much welcomed.

Put together some little thank you gifts to give your patients that are teachers/nurses/police officers when they come in for their dental appointment during the month of May.

Second, reach out to the teachers, nurses, and officers in the community that are not “yet” patients at your office.

Host a Favorite Teacher/Nurse/Police Officer Contest. Invite the community to nominate their favorites. The winner receives FREE teeth whitening and a certificate stating they won for the favorite teacher/nurse/police officer contest.

You could easily ask for donations from local businesses to add to the winning prize.

Deliver treats and/or toothbrush bags to your local hospitals, doctors’ offices, fire station, and/or police stations.

April is National Garden Month –  So let’s think and talk about the month of April and how we can use gardening & spring flowers to market your practice and exceed your patient’s expectations.

Theme: Spring Flowers

Fun Give Away: Flower Seed Packets w/a label and business card attached.

Flower seed packets can be purchased at most Dollar Stores for around .20 a packet. Great deal!

National Pet Month – People love to talk and brag about their pets. Use this week to ask your friends/patients on your social media sites to post pictures of their pets. Post pictures of your team members pets.

Turn it into a contest: the pet with the most likes wins a special treat. 

Give-away: hand out dog treats packaged with your office information. Even if a patient doesn’t have a dog surely they know someone who does…great way to get your office name out there!

Community Involvement Opportunity:

Community Spirit Days (1-30) – What a great opportunity for your office to get involved in the community. Check your city’s event calendar for events and activities.

Are there any charity/sporting/community events that you and your team can participate in or sponsor?

Be sure to share a variety of local community events on your social media sites. This will encourage your patients to look to your office page to learn what’s going on in the community.
