March marks the end of the first quarter of the year. I am happy to share some valuable dental practice management tips and ideas for implementation throughout the month. These strategies and reminders aim to support you in wrapping up the first quarter successfully!

March: A Key Month Worth Your Attention

March is a crucial month for focusing on productivity and patient well-being. Why is it so important? Well, because in six months, September will arrive, and for many, September tends to be a slower month for appointments. Let’s take proactive steps now to make September more successful this year. We know that the back-to-school season can sometimes result in more last-minute changes to the schedule so consider, scheduling more patients without school-aged children in late August to mid-September and parents toward the end of the month and beginning of October.

Focus on Patient Health and Wellness

Set high standards for care and regularly evaluate your mix of services. Keep track of key metrics – monitor your diagnostic and treatment acceptance rates. Help more patients say yes to your best treatment recommendations. When your patients are healthy – your practice is healthy.

Clear Vision and Well-Defined Goals

When you share your vision and goals with your team, you create a sense of unity and focus.

Having a clear vision and defined goals are crucial in designing the systems and processes within your team and office. They act as a roadmap for organizing workflows, setting performance standards, tracking progress, and celebrating wins!

Same-Day Schedule Changes 

Holes in the schedule are not OK. Encourage your patients to keep their reservations and for the ones that absolutely must break their appt… unless they are a habitual offender PLEASE reschedule them while you have them on the phone.

When considering the cost of open chair time in a dental schedule, it’s essential to recognize the impact it can have on the overall efficiency and profitability of a dental practice. More importantly, the opportunity to help your patient smile healthier is lost.

Special Days to Celebrate in March

Dental Assistants Recognition Week3rd – 9th – This week is all about recognizing and celebrating your dedicated and amazing assistants! Capture a picture or two of your assistant(s) to share on your social media platforms along with a message of gratitude. Encourage your patients to leave positive reviews on Google and Facebook about the wonderful experiences they’ve had with your assistant or assistants at your practice.

National Dentists Day: March 6th   – Celebrate the fantastic dentists in your life today! Capture a picture of your dentist or dentists to post on your social media accounts along with a message of gratitude.

Daylight Saving Time Begins: 10th  (Turn Clocks Ahead 1 Hour)  @2:00 am)

National Cleaning Week: 24th – 30th  (Last Week)

Spring Clean your Dental Health Routine

Create an email and social media campaign to reach out to your unscheduled hygiene patients reminding them to schedule their Spring Cleaning (wellness) visit.

(Don’t wait until the end of the second quarter of the year to evaluate if your and your team’s daily actions are in harmony with your practice vision and mission. )

Leadership & Team Building & Appreciation Idea

Practice improvement and growth start with you and your team! Remember, there is no way that the quality of patient care and experiences will exceed the quality of the people who provide it.

It is literally true that you can succeed best and quickest by helping others to succeed.” –Napolean Hill

 

Invest in your team – Thoroughly train your employees (new & old) on your practice goals, systems, expectations, software, telephone skills, dental procedures, protocols, etc.  Include regular continuing education – you can do this with in-office training, webinars, lunch and learns, and seminars/classes outside of the office.

Doughnut Day or Donut Day: June 2nd – Bring in donuts for the team!

 

 

Recess at Work day is June 15th – Get outside for a few minutes with your team for some fresh air. If you can’t all get outside, open the windows, and turn up the radio.  How about a sweet treat to enjoy during “recess”? (ex: ice cream, frozen drink, etc.)

Practice Management Reminders & Ideas

Unscheduled Patients – Now is a great time to reach out to your unscheduled patients both active and inactive patients. Why? Because for your patients to smile healthy they need to schedule the treatment you’ve diagnosed and to come in regularly for their hygiene continuing care appointments.

Some questions to consider:

  • Of your active patients (seen in the last 18 months) how many have a next appointment scheduled and how many do not?
  • What systems are in place to ensure the team is staying in touch with your unscheduled patients?
  • How many patients left the practice this year?
  • What can you do together as a team to retain more patients by consistently exceeding their expectations?
  • What can you do together as a team to help more patients say yes to your very best care? Remember, When your patients are healthy – the practice is healthy.

Knowing your practice numbers and doing something with what you know about those numbers is key to growing and improving your practice. Numbers tell a story. Numbers tell you if your practice is healthy or unhealthy.

Reviews & Recommendations – Ask your patients to please review your office on Google and recommend you on Facebook. Don’t simply rely on third-party companies to do this for you. It’s so simple (& free) to invite your patients to do this for you.

National Dentists Day: March 6th   – Spend today celebrating the awesome dentists’ in your life! Be sure to take a picture(s) of your dentist(s) to post on your social media pages and Google My Business listing with a message of appreciation.

Be sure to take a picture(s) of your assistant(s) to post on your social media pages with a message of appreciation. Invite your patients to leave a review on Google and or Facebook about their positive experiences with your assistant or assistants at your office.

Employee Appreciation IdeaStarbucks Day: 31st – Bring in Starbucks as a surprise treat for them.

Office Numbers, Systems, & Goals – Are you satisfied with how your numbers are trending? If not, now is the perfect time to review your goals, examine your systems, and make any necessary adjustments.

Appointments – What does your preappointment and reappointment percentages look like? Six months from March is September and for many, it can be a slower month. Your reappointment percentage in March will have a direct impact on what your schedule looks like in September.

Same-Day Schedule Changes – Holes in the schedule are not OK. Encourage your patients to keep their reservations and for the ones that absolutely must break their appt… unless they are a habitual offender of breaking appts, PLEASE reschedule them while you have them on the phone. Refrain from asking – do you want to reschedule? Would you like to schedule? Do you want to call back to reschedule? ETC. Assume that they want to and say: “I know this appointment is important to you so while I have you on the phone let’s go ahead and reserve a more convenient time. I have ___ or ___ which works better for you?

Daylight Saving Time Begins: 12th   (Turn Ahead 1 Hour)  @2:00 am)

Would you like to see an increase in production and office collections?  Would you like to decrease the amount of time and money being spent on chasing past-due patient and insurance balances?

Here are 3 quick tips for you:

  1. No surprises! – Present the patient’s treatment plan and estimated financial portion before treatment is started. If you accept and/or participate with their insurance, have up-to-date eligibility, a breakdown of benefits, and the insurance fee schedule on file for the patient and enter into your practice management software.
  2. Payment is due before or on the day of service – No billing the patient for co-pays or payment for services. (Hint: Collecting payment at the time of scheduling/reserving the appointment will reduce cancellations and no-shows.
  3. Daily, Weekly, and Monthly monitor your patient and insurance accounts receivable, collection, and credit reports.  (Carefully review write-offs, discounts, credits, charges, and payments.)

The month of March will close out your first quarter of the year. Are you happy with how your collection, production, new patient, and patient retention numbers are trending? If not, now is the perfect time to make some adjustments.

March is an especially important month to work on not only being productive and happy but to successfully see to it that 100% of your hygiene continuing care patients schedule their next 6-month appointment. Why? Six months from March is September and for many, it can be a slower month. Your reappointment percentage in March will have a direct impact on what your schedule looks like in March.

Do you know what your reappointment percentages look like each month? Do you know how many of your active patients have a future appointment and how many are unscheduled? Those are smart numbers to track.
