One of the most asked questions that I receive is ideas for hosting a dental open house event. So if you have an open house planned for your dental office or are considering hosting an open house event, here are some ideas to help make your open house a huge success!

Dental Clinic Open House Celebration Ideas

Consider adding a theme to your event.

Event Theme Ideas:

 Cross Marketing Opportunity:

Team up with local businesses!

  • Hair Salons, Specialty offices, Restaurants, Etc.
  • Display a thank you board/sign listing the local businesses involved in the open house.
  • Have an area that they can display their business information
  • Have them donate a prize to be raffled off or used in a drawing.
  • Ask them to advertise your event at their place of business.

Word of caution, make sure that if you choose to team up with any other local businesses that it doesn’t distract the guests away from your office.

Having a drawing(s) allows you to collect the names and contact information of the guests. Be sure to collect Name, Address, Email & Phone #.

Team up with local businesses for contributions/donations of Prizes. Be sure to remind them that their name will be included in your advertising for the open house.

Offer an incentive (such as; gift card) to the first so many people who RSVP to your event.

Office Appearance:

  • The office must be clean and clutter free!! (Inside & Out!)
  • Restrooms – make sure they are checked during the open house for cleanliness and that they are well stocked)
  • Decorate the Office
  • Music Playing (recorded or live)
  • Have stations/displays set up throughout the office to encourage a tour of the entire office.
  • Monitors set up in reception room and treatment suites playing videos of services offered. Before and After Photo Slideshow.
  • Display “About Our Office & Services” Brochures

Team Members:

  • Well dressed and groomed
  • Name Tags
  • Friendly & Outgoing
  • Specific assignments (designated greeter, tour guide, speaker for dental presentations, etc.)

Food/Drink Ideas:

  • Bottled water with an office label
  • Punch/lemonade/Tea/Coffee/Wine/Beer
  • BBQ Foods
  • Appetizers
  • Wine/Cheese
  • Desserts
  • Ice Cream Truck (great for outdoor events)

You may be able to get a local business to donate cookies, cake pops, cupcakes, sandwich trays, fruit and vegetable platters, etc.

Day of the Event:

  • Smiling faces
  • Name tags for your guests
  • Give tours (Depending on the size of the event you could set up tours as a scavenger hunt)
  • Be ready to schedule dental appointments
  • Greet everyone
  • Take lots of pictures
  • Record a video of the event. Consider doing a Facebook live during the event.

 After the Event:

  • Send Thank you’s to all of your guests and any businesses that participated in the event.
  • Send a follow-up article & pictures to the local paper.
  • Call prize winners to come into the office and collect their gift – be sure to take their picture(s).
  • Post pictures of the event on social media sites.

Remember, Proper Planning Prevents Poor Performance!

To-do lists are your friend! Include a timeline & who is responsible for what & when.

Your goal should be to make your guests feel welcome, special, and appreciated. No one wants to show up to an event where they are not welcomed or confident they’re even in the right place.

Incomplete Treatment & Insurance Maximum Renewals – Do you have any patients with incomplete treatment or ones that are due/past due in hygiene with remaining insurance benefits that are going to run out at the end of this year? Do what you can to help them see the need and value in scheduling an appointment this month before the end of the year rush really shifts into high gear! National Clean Out Your Refrigerator Day: 15th – Time to clean out the office refrigerator.

Candy Buy Back – Many of you will be starting off the month of November hosting and celebrating your office Candy Buy Back events. Consider doing a Facebook Live Video to promote your event. Be sure to alert the local TV news, online & print newspapers and social media sites about these events.

Dental Education Opportunity:

November is American & National Diabetes Month

Over 30 million Americans have diabetes.
People with diabetes are 2 times more likely to develop serious gum disease.
Use this month to educate your patients about the connections between diabetes and gum disease while they are in the chair and or via email, office newsletters, and your social media sites.

International Stress Awareness Day: 1st   – Share tips on how to reduce stress & the relationship between stress and oral health. Service/Treatment Feature: Mouthguards.

Great American Smokeout: 16th   – Wonderful Educational Opportunity to help your patients Kick the Tobacco Habit! As well as encourage youths to remain tobacco-free.

Cosmetic Dentistry Opportunity:

Many of your patients will soon be attending holiday parties/events and typically with these special occasions come a lot of picture-taking. Now is a great time to help them see how they can easily get their smile ready for the camera with teeth whitening and other cosmetic treatment/procedures. Be sure to make available Dental Gift Cards/Certificates for purchase.

World Kindness Week: 12-18 – Have Gift Of Health Certificates for your patients to share with their friends, co-workers, neighbors, and family. Perhaps there is a patient coming in this week for treatment that is experiencing serious financial hardship and would benefit from some extra kindness by you donating some of their dental treatment.

Hello Friends,

Have you ever called a local business and were immediately put on hold only to hear every few seconds this crazy annoying beeping sound or there is dead silence? You can’t tell if you’ve been disconnected or are still on hold. Or what about the business that has a radio playing as their on-hold message, except it’s all static or playing some lame music?

A while back I set one of my clients up with a message on hold service, created beautiful, short custom marketing messages for them and on the first day of using it, a caller said: “Oh, I didn’t know you do teeth whitening.” See how that works?

Having a quality message on hold system set up is a good thing. Use this service as an opportunity to educate and inform your callers while they are on hold.

Every dental office has information, news, events, or dental health facts and services that should be highlighted while a caller is put on hold.

In addition to playing music, what are some things you can talk about?

  • Special Office Events
  • Dental Services & Products
  • Dental Health Tips
  • Office Hours
  • Social Media Site Information (Invite callers to “like” / “follow” the office.)
  • Financial Expectations
  • Website Address

A message on hold system allows you to advertise to your patients and keep them informed on the latest and greatest office happenings. It will also distract them from the fact that they’ve been put on hold.

Please make sure that you keep your content fresh! One of my doctors offices has had the same on hold message for years!! I think I have it memorized. Blah!

 There are many on hold messaging services out there.

My suggestions for what to look for in a message on hold service/system are: 

  • Quality Sound & Voice Talent.
  • Inexpensive – You don’t need to spend a lot of money!
  • Helpful – Exceptional Customer Service.
  • Allows you to change your message and music throughout the year.
  • Doesn’t lock you into a long contract.
  • Will help you create effective messages.
  • Makes the setup and process easy on you and your team!
  • Allows you to listen to sample messages before buying.

 And if you want my specific recommendation, it is Captive Audience. After much research, this is the company that I have found to meet my requirements and exceed my expectations. (See below for more information about Captive Audience)

Have you ever called your office and were put on hold? I know your patients and potential patients have, what are they hearing or not hearing? Make the time they’re on hold count!

Those are my thoughts on using a message on hold service.

Since we’re talking about putting callers on hold, might I add, never, ever answer the phone with “hold please” or “can you hold?”! Take a quick second, find out who they are and what they need. People prefer not being put on hold.  If you are habitually needing to put callers on hold, you need more people answering the phones.

Are you looking for a fun way to thank your patients for their referrals and encourage your patients to tell their friends, family, neighbors and co-workers about your office? A great and inexpensive way to do this is to present them with an unexpected gift at their appointment. A while back I shared many of these ideas with you but I made some revisions and added some pictures of real life examples that I thought you all would appreciate.

Here are a few ideas for you…

GIFTS in WINTER:

* Tea *

Attach your business card or a special offer to green tea packets as a special give-away for your patients. Even if they don’t drink tea they can give it to a family member, friend, co-worker or a neighbor. Easy and inexpensive way to advertise your office and exceed your patients expectations. The label/tag may say:

“Our Patients are TEA-riffic!”

* Candle *

Mini candle jars make a nice gift. Attach a tag or label with your office info and one of these sayings:

“Our Patients Are Scentsational”

“Your Referrals Warm Our Hearts”

* Lotion *

Pass out little bottles of lotion. If they are not imprinted with your office name add a tag to the bottle with your office name and website with this saying…

“Hands Down We Have The Best Patients In Town!”

* Soup *

Here is a delicious gift idea for Winter: “Warm-Up Wednesday’s” Set up a slow cooker with soup or chili every Wednesday for your patients to enjoy. (Have recipe cards ready to share) Your patients will love the free food!

When in doubt, food is a great way to your patients hearts…especially, free food. This is also an opportunity to do some cross marketing with local businesses. Ask them to donate gift cards for free food/drink. Or you can purchase gift certificates to give away to your patients on special days. Check out these ideas:

* Flower/Herb/Veggie Seed Packets *

Flower Seed Packets w/a label and business card attached. Flower seed packets can be purchased at most Dollar Stores for around .20 a packet. Great deal! The labels you attach to the flower seed packets could say:

“Our Office Blooms Because of you!“

“Please enjoy these flowers growing as much as we enjoy your referrals growing our practice.”

* Honey *

Give your patients gifts of little jars of honey. Attach a tag saying:

Give away mini bottles of sunscreen. If you don’t have them imprinted with your office name, simply add a tag to the bottles.

* Free Ice Cream Cone Certificates *

Team up with local ice cream shop for donations of free ice cream cones

* Zucchini *

Sneak Some Zucchini Onto Your Neighbor’s Porch Night. (I’m serious, it’s a real day in August!) While you probably don’t want to visit your patient’s homes during the night you can easily have a basket of zucchini at the office for your patient’s to take. Wrap some ribbon and a business card with a zucchini recipe on it for your patients to sneak onto their neighbors porch during the night.

Warm or cold cider is a nice fall treat. You don’t need to give every patient their own jug of cider a small cup of cider will be well received and appreciated. Include a sign near the cider that says:

Pinterest has some really neat ideas for inexpensive and fun s’more kits.

Offer Xylitol samples of Gum, Mints, and Suckers

* Donuts *

Who doesn’t enjoy a yummy donut every once in a while? Display a platter of donuts at the front desk or at your patient beverage station with a sign that says:

Donut Know What We Would Do Without Wonderful Patients Like You!”

* Bath Salts/Sugar Scrubs *

Consider making bath salts or sugar scrubs as a team building activity. Give away as gifts to your patients.

Tip: Pinterest is loaded with recipes and super cute packaging ideas.

* Lip Balm *

Order imprinted lip balm and attach cute tags to the packaging with this saying…

“Our Patients are the Balm!”

* Gift of Health Certificates *

Instead of just asking your patients to refer their friends, family, neighbors and co-workers to your office, give them a gift of health certificate to share with their friends, family, neighbors & co-workers.

Note: You can do some seasonal gift of health certificates by changing the paper and envelope according to the current season.
