This month is full of opportunities to show appreciation for your hard-working employees, for employees to show appreciation for their doctors, and for the team to just have more fun!

National Dentists Day: March 6th   – Spend today celebrating the awesome dentists’ in your life! Be sure to take a picture(s) of your dentist(s) to post on your social media pages and Google My Business listing with a message of appreciation.

Dental Assistants Recognition Week5th – 11th – This is the week to celebrate your hard-working and awesome assistants! Be sure to take a picture(s) of your assistant(s) to post on your social media pages with a message of appreciation. Invite your patients to leave a review on Google and or Facebook about their positive experiences with your assistant or assistants at your office.

Employee Appreciation IdeaStarbucks Day: 31st – Bring in Starbucks as a surprise treat for them.

Office Numbers, Systems, & Goals – Are you satisfied with how your numbers are trending? If not, now is the perfect time to review your goals, examine your systems, and make any necessary adjustments.

Appointments – What does your preappointment and reappointment percentages look like? Six months from March is September and for many, it can be a slower month. Your reappointment percentage in March will have a direct impact on what your schedule looks like in September.

Same-Day Schedule Changes – Holes in the schedule are not OK. Encourage your patients to keep their reservations and for the ones that absolutely must break their appt… unless they are a habitual offender of breaking appts, PLEASE reschedule them while you have them on the phone. Refrain from asking – do you want to reschedule? Would you like to schedule? Do you want to call back to reschedule? ETC. Assume that they want to and say: “I know this appointment is important to you so while I have you on the phone let’s go ahead and reserve a more convenient time. I have ___ or ___ which works better for you?

Daylight Saving Time Begins: 12th   (Turn Ahead 1 Hour)  @2:00 am)

Would you like to see an increase in production and office collections?  Would you like to decrease the amount of time and money being spent on chasing past-due patient and insurance balances?

Here are 3 quick tips for you:

  1. No surprises! – Present the patient’s treatment plan and estimated financial portion before treatment is started. If you accept and/or participate with their insurance, have up-to-date eligibility, a breakdown of benefits, and the insurance fee schedule on file for the patient and enter into your practice management software.
  2. Payment is due before or on the day of service – No billing the patient for co-pays or payment for services. (Hint: Collecting payment at the time of scheduling/reserving the appointment will reduce cancellations and no-shows.
  3. Daily, Weekly, and Monthly monitor your patient and insurance accounts receivable, collection, and credit reports.  (Carefully review write-offs, discounts, credits, charges, and payments.)

Tips for Sprucing Up the Dental Office Break Room

Hello Friends,

Take a good look at your employee break room (or space). Is it past due for a good cleaning, decluttering, painting, and/or organizing?  Might not seem like an important space to give attention to but it is! Why? Because you and your employees deserve to take a break (& eat) in a nice, relaxing, and clean space.  

Tips and Ideas to Spruce up the Lunch/Break Room/Lounge

Declutter & Organize the countertops, table, shelves, cabinets, and drawers.

Décor – add some nice pictures to the walls and freshen up the paint

Add some Extras – condiments, snacks, drinks, dishes/silverware, storage containers,

Charging stations for electronic devices, etc.

Bookshelf – add a bookshelf and some books to read during the breaks.

Baskets & Hooks – If this area also stores employees’ clothes, jackets, shoes, and purses/bags be sure to have labeled baskets to store personal items and hooks to hang coats.

Messaging Center – Hang a whiteboard or corkboard to share team news/messages, office happenings, team meeting dates and agenda, employee work anniversaries, etc.

TV Monitor & Computer – Install a large TV monitor for team meetings and continuing education courses. (A webcam/microphone is helpful too.)

Cleanliness Reminders for the team – Be kind & thoughtful – do your own dishes, wipe up spills/crumbs, refill the paper towel dispenser, don’t leave expired food in the fridge, and wipe down the microwave, or toaster oven after each use.

Beverage Containers – Rather than having unsightly, random water bottles, coffee mugs, and carry-out drink containers around the office – invest in some nice water bottles and coffee mugs imprinted with your office name for the team to use at the office.

Team Building – You’ll notice a little trend with the team building ideas for February as they just so happen to revolve around food & drink. 😉

National Pizza Day: 9th – Bring in a pizza lunch for the team today.

National Drink Wine Day: 18th  

National Margarita Day: 22nd

National Chili Day 23rd – Have an in-office chili cook-off lunch. Everyone brings in a crockpot of chili. Have prizes for the best tasting, most unique, etc.

Random Acts of Kindness Week: 12-18th – Do something special for your employees this week. Bring in an unexpected sweet treat or small gift to let them know just how much you appreciate them. (By the way, if you’re an employee reading this, your doctor would also appreciate an unexpected act of kindness this week!)

February is International Boost Self-Esteem Month. Negative people are the greatest destroyers of self-confidence and self-esteem. Practice Management Reminders and Ideas

Reappointments and Reactivation – Now is a great time to reach out to your unscheduled patients both active and inactive patients. Do you know how many of your active patients are unscheduled? (If your practice management software is Dentrix, Eaglesoft, or Open Dental I can help you quickly get those numbers. Just send me an email to bhaydenconsulting@gmail.com and let me know that you’d like to get the FREE data analysis.)

Take advantage of all the different communication methods to reach your patients – telephone, text, email, letters/cards, and your social media pages.  You’re planting little reminder seeds that you’re thinking about them. Hopefully, it will be the gentle nudge they need to schedule an appointment.

Insurance – Have you carefully reviewed the 2023 CDT changes, additions, and deletions? This is important not just for filing insurance claims but because CDT codes are procedure codes, and every clinician is responsible for using them properly.

Speaking of Insurance, what does your insurance aging report look like? How often are you checking on outstanding insurance claims? Who is monitoring and working on your aging reports, daily?

February is National Time Management Month –  “ Either you run the day or the day runs you.

Start with the office schedules/patients’ appointments – Are they chaotic, unpredictable, and stressful? If they’re running you and your team crazy, it’s time to evaluate what’s not working and make changes. Design and run the schedules for success.  Remember, you are (or should be) in control of how, when, and where patients are scheduled. Keep them full, healthy, and productive.
